Terms of Service

Last updated: March 2026

These Terms of Service ("Terms") govern your use of the PM Bookkeeper website and services. Please read them carefully before using our services.

1. Agreement to Terms

By accessing our website or engaging our services, you agree to be bound by these Terms. If you do not agree to these Terms, please do not use our website or services.

2. Services

PM Bookkeeper provides outsourced bookkeeping services specifically designed for property management companies. The scope of services, deliverables, and timelines are defined in your individual service agreement. Our services may include bank reconciliations, accounts payable, owner statements, financial reporting, and other bookkeeping functions performed within your property management software.

3. Account Access

To perform our services, you grant us accountant-level access to your property management software (AppFolio) as needed. You are responsible for maintaining appropriate access controls and ensuring that the permissions granted to our team align with the scope of services agreed upon. You may revoke access at any time by modifying your AppFolio user settings.

4. Fees and Payment

Fees for our services are as quoted in your individual service agreement. Invoices are issued monthly and are due within 15 days of the invoice date. Late payments may incur a late fee of 1.5% per month on the outstanding balance. We reserve the right to suspend services if payment is more than 30 days overdue.

5. Confidentiality

We treat all client financial data as strictly confidential. We will not disclose your financial information to any third party except as required to perform our services or as required by law. We will sign a non-disclosure agreement upon request. All of our team members are bound by confidentiality agreements as a condition of employment.

6. Limitation of Liability

To the maximum extent permitted by law, PM Bookkeeper's total liability for any claim arising from or related to our services is limited to the total fees paid by you in the three months preceding the event giving rise to the claim. We are not liable for any indirect, incidental, consequential, special, or punitive damages, including but not limited to loss of profits, data, or business opportunities.

7. Termination

Either party may terminate the service agreement with 30 days written notice. Upon termination, we will assist with the orderly transition of bookkeeping responsibilities, including providing documentation of work in progress and ensuring your books are in good standing through the termination date.

8. Governing Law

These Terms are governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be resolved in the courts of the State of Florida.
